What to verify, what not to share, and where responsibility sits when using Portana AI and Community.

AI answers
Portana AI uses your question and relevant information from your Portana workspace to generate an answer through OpenAI. Answers may be inaccurate, incomplete, or outdated. Always verify important property, maintenance, legal, tax, safety, emergency, insurance, financial, and regulatory information.
AI is an organizational aid—not a professional adviser, inspector, emergency service, contractor, attorney, accountant, insurer, or regulator.
What AI receives
Depending on the scope you select, AI context may include property names and street addresses, safe Property Guide entries, equipment and warranty details, maintenance and task information, saved service-provider contacts, utility provider details, and non-sensitive document metadata. Portana does not send uploaded document contents.
Restricted Details are not included. The current context allowlist excludes utility account numbers, login identifiers, payment details, login URLs and utility notes, access-oriented guide entries, property-access playbook entries, and sensitive-looking content. Obvious credential-bearing questions are blocked. Automated detection is not perfect, so do not intentionally paste passwords, access codes, lockbox details, account numbers, or payment information into AI.
Portana's AI query log retains usage metadata but replaces question text with a non-content placeholder and does not store generated answer text. OpenAI processes the submitted question and context to produce the answer.
Community content
Community groups, posts, comments, recommendations, and images are created by users, not Portana. Portana does not guarantee that this content or a recommended service provider is accurate, current, safe, licensed, insured, available, or suitable.
You are responsible for what you post and must have the right to share it. Disclose commercial or provider relationships. Independently evaluate advice and service providers before acting, hiring, paying, or granting access to a property.
Privacy and moderation
Do not share passwords, access codes, guest information, exact private access details, or private documents in Community. Community safeguards can warn about obvious sensitive patterns but cannot guarantee detection.
Portana may review reports and hide or remove content under the Community Guidelines. Moderation does not mean Portana endorses, verifies, or assumes responsibility for content that remains visible.
Short disclosure
AI can make mistakes. Verify important property, maintenance, legal, safety, and compliance information. Never paste credentials into AI.
Community content comes from users. Evaluate advice and providers independently, disclose commercial relationships, and keep private home and guest information out of posts.
